4. How we collect personal information

We may collect information:

  • Directly from you, for example when you place an order, create an account, complete a form, contact us, subscribe to marketing or submit a review.
  • Automatically, through cookies, pixels and similar technologies when you use our website.
  • From Shopify, which hosts and operates our ecommerce platform.
  • From payment providers, for example payment confirmation, fraud indicators and transaction status.

  • From social media platforms, when you contact us, mention us or interact with our content.

5. How we use personal information and our legal bases

We use personal information for the following purposes:

  • Processing and delivering orders, including confirming orders, taking payment, arranging delivery and providing order updates. We do this because it is necessary to perform our contract with you.
  • Managing returns, refunds, exchanges and complaints. We do this to perform our contract, comply with legal obligations and protect our legitimate business interests.
  • Providing customer support, responding to questions and providing technical or product assistance. We rely on performance of our contract and our legitimate interest in providing good customer service.
  • Managing customer and professional accounts, including Trade, PRO and Reseller applications. We rely on steps taken before entering a contract, performance of a contract and our legitimate interest in managing our professional network.
  • Preventing fraud and protecting security, including verifying transactions, detecting misuse and protecting our customers, website and business. We rely on legitimate interests and, where applicable, legal obligations.
  • Maintaining financial and business records, including accounting, tax, audit and legal records. We do this to comply with our legal obligations.
  • Improving our website, products and services, including analysing performance, identifying errors and understanding how customers use our store. We rely on legitimate interests and, where non-essential cookies are involved, consent.
  • Sending marketing communications, where you have consented or where the UK “soft opt-in” for existing customers applies.
  • Personalising content and advertising, where the required cookie or marketing consent has been provided.
  • Displaying reviews and customer content, based on your submission, permission and our legitimate interest in informing other customers about genuine experiences.
  • Establishing, exercising or defending legal claims, based on our legitimate interests and legal obligations.

Where we rely on legitimate interests, we consider whether our interests are necessary and proportionate and balance them against your rights and interests.

Where we rely on consent, you may withdraw it at any time. Withdrawal does not affect processing that was lawful before consent was withdrawn.

6. Shopify and Shopify Network Intelligence

Our online store is hosted by Shopify. Shopify processes personal information when you visit our store, create an account, use checkout or make a purchase. This processing helps provide the ecommerce platform, checkout, payment, security, fraud-prevention, analytics and other services used to operate our store.

We currently use Shopify Network Intelligence. Shopify may securely use information from your interactions with our store, with other Shopify merchants and with Shopify to provide and improve enhanced services. These services may include improved personalisation, store performance, fraud prevention, analytics and, where you have provided the required consent, advertising based on your activity.

Information may be shared with Shopify, its affiliates and relevant service providers, which may be located in countries outside the United Kingdom.

Non-essential cookies and tracking technologies used for analytics, personalisation or advertising will not be activated for UK visitors unless the required consent has been provided through our cookie banner. You can change or withdraw your consent using the Cookie preferences link available on our website.

You can learn more about Shopify’s processing in the Shopify Consumer Privacy Policy .

You can also use the Shopify Privacy Portal to learn how to exercise applicable rights with Shopify, including withdrawing consent, requesting deletion or objecting to certain processing used for Shopify Enhanced Services.

7. Cookies and similar technologies

We and our service providers, including Shopify, use cookies, pixels and similar technologies to operate the website, remember preferences, measure performance, prevent fraud and, where permitted, personalise content and advertising.

These technologies may include:

  • Strictly necessary technologies, which are required for functions such as checkout, shopping basket, security and customer accounts. These cannot normally be disabled through our cookie banner.
  • Analytics technologies, which help us understand how visitors use the website.
  • Personalisation technologies, which remember choices and help tailor the customer experience.
  • Advertising technologies, which may help measure campaigns, limit repeated adverts and show more relevant advertising.

For UK visitors, non-essential technologies are used only after the required consent has been provided. You can accept, reject or manage categories through our cookie banner and change your decision later using Cookie preferences.

Blocking or deleting certain cookies through your browser may affect the operation of some website features.

8. Marketing communications

We may send marketing emails or text messages where you have specifically consented or where the UK soft opt-in applies because you previously purchased or negotiated to purchase similar products from us and were given a clear opportunity to opt out.

Marketing consent is optional and is not required to complete a purchase. Marketing options should not be selected automatically during checkout.

You can stop receiving marketing at any time by:

  • using the unsubscribe link in a marketing email;
  • following the opt-out instructions in a text message;
  • changing your account preferences; or
  • contacting us at info@ultracoatpro.co.uk.

We may retain limited information on a suppression list so that we can respect your request and avoid sending further marketing.

Service messages concerning an order, delivery, account, return or important policy change are not marketing and may still be sent where necessary.

9. How we share personal information

We share personal information only where reasonably reasonably necessary to operate our business, provide services, comply with the law or protect our rights. Recipients may include:

  • Shopify, as our ecommerce platform, hosting and checkout provider.
  • Payment providers and financial institutions, to process payments, refunds and payment disputes.
  • Delivery and fulfilment providers, including DPD, Evri and Royal Mail, to deliver and track orders.
  • IT, hosting, security and customer-account providers, which support our website and systems.
  • Email, SMS and customer-service providers, where used to communicate with you.
  • Analytics and advertising providers, such as Google or Meta, where the required consent has been provided.
  • Product-review and customer-feedback providers, where used to collect or display genuine customer reviews.
  • Professional advisers, including accountants, legal advisers, insurers and auditors.
  • Government bodies, regulators, courts and law-enforcement authorities, where disclosure is required or permitted by law.
  • A purchaser, investor or successor organisation, where information is required as part of a genuine sale, restructuring or transfer of our business, subject to appropriate confidentiality and data-protection safeguards.

We do not sell personal information to third parties for monetary payment. However, Shopify Network Intelligence and certain advertising services may involve data processing or sharing for personalisation and advertising, subject to the consent and controls described in this Privacy Policy.

10. International transfers

Some providers, including Shopify and certain technology, payment, analytics and advertising providers, may process personal information outside the United Kingdom.

Where required, international transfers are protected using recognised legal safeguards, such as UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses or another lawful transfer mechanism.

Further information about Shopify’s international processing is available in the Shopify Consumer Privacy Policy .

11. How long we retain personal information

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting, tax, fraud-prevention and dispute-resolution requirements.

Retention periods depend on the type of information. For example:

  • order, invoice, payment and tax records are generally retained for up to six years or longer where required by law;
  • customer-service, return and complaint records are retained for as long as reasonably necessary to resolve the matter and manage potential claims;
  • account information is normally retained while the account remains active and for an appropriate period afterwards;
  • Trade, PRO and Reseller information is retained for the duration of the relationship and an appropriate period afterwards;
  • marketing information is retained until you withdraw consent, opt out or the information is no longer required; and
  • limited suppression information may be retained to ensure that an unsubscribe request continues to be respected.

Information may be deleted, anonymised or aggregated when it is no longer required.

12. Security

We use reasonable administrative, technical and organisational measures designed to protect personal information against accidental loss, unauthorised access, misuse, alteration or disclosure.

Payment information is handled through Shopify and authorised payment providers. We do not normally store complete payment-card details on our own systems.

No online service or transmission method can be guaranteed to be completely secure. You should protect access to your email account and customer account and notify us if you suspect unauthorised access.

13. Your rights

Depending on the circumstances, UK data-protection law may give you the right to:

  • request access to personal information we hold about you;
  • request correction of inaccurate or incomplete information;
  • request deletion of personal information;
  • request restriction of processing;
  • object to processing based on legitimate interests;
  • object at any time to direct marketing;
  • request transfer of certain information in a portable format;
  • withdraw consent at any time where processing relies on consent; and
  • request safeguards relating to certain decisions made solely by automated means.

These rights are not absolute. We may need to retain or continue processing information where required by law or where another lawful reason applies.

To exercise a right, email info@ultracoatpro.co.uk. Please describe your request clearly. We may ask for reasonable information to verify your identity before releasing or changing personal information.

We normally respond within one month. Complex requests may take longer, in which case we will explain the reason and expected timescale.

14. Automated processing and fraud prevention

Shopify, payment providers and fraud-prevention services may use automated tools to assess transactions, identify security risks or flag potentially fraudulent activity. This may result in an order being held for review, requiring additional verification or being declined.

Where applicable law gives you rights relating to a decision made solely by automated means that has a legal or similarly significant effect, you may request human review, provide additional information and challenge the decision by contacting us.

15. Children’s information

Our website and products are not directed at children. We do not knowingly collect personal information from children without appropriate parental or guardian involvement.

If you believe that a child has provided personal information to us inappropriately, contact us so that we can investigate and take appropriate action.

16. Third-party websites and services

Our website may contain links to third-party websites, social networks or services. We do not control those third parties and this Privacy Policy does not govern their processing. Please review their privacy information before providing personal information.

17. Changes to this Privacy Policy

We may update this Privacy Policy to reflect changes in our business, services, technology, Shopify settings or legal obligations.

The latest version will be published on this page with an updated date. Where a change materially affects how we process personal information, we will provide additional notice where reasonably required.
